Privacy Policy
How Greater Texas Orthopedic Associates collects, uses, and protects information submitted through this website.
Last updated: August 27, 2026
This policy covers information collected through this website. It does not replace or change any rights or obligations that apply to your medical records or to care you receive at a GTOA clinic. Please do not send sensitive medical details through this website.
About This Policy
Greater Texas Orthopedic Associates, LLC ("GTOA," "we," "us," or "our") provides orthopedic, pain management, neurosurgery, and traumatic brain injury care across Texas. This Privacy Policy explains what information this website collects, why we collect it, who we share it with, and the choices you have.
This policy applies to greatertxortho.com and the forms and features on it. It does not apply to information you give us in person at a clinic, over the phone, or through your medical record, and it does not replace or change any rights or obligations that apply to your care.
By using this website you acknowledge this policy. Please also read our Terms of Use, which governs your use of the site.
Information You Provide Through Our Forms
Our contact form asks for your name, phone number, email address, whether you are a patient or an attorney, and your message. All fields are required. We ask you to tell us whether you are a patient or an attorney because the two requests are handled differently, as described below.
You choose what to put in the message field. Please keep it general. Do not include detailed symptoms, diagnoses, test results, or other sensitive medical information in a website form.
- Your name
- Your phone number
- Your email address
- Whether you are contacting us as a patient or as an attorney
- The content of the message you write
Information Submitted by Attorneys Making a Referral
Our attorney referral form is for legal professionals referring a client to GTOA. It collects information about the attorney and about the person being referred, and it requires you to confirm that you have the authority and the client's permission to share their information with us.
If you are an attorney or case manager using this form, you are responsible for making sure you have the right to share the information you submit. Please submit only what is needed to arrange an evaluation, and use secure clinical channels for anything sensitive.
- The referring attorney's name
- The law firm name
- The attorney's email address and phone number
- The name of the client or patient being referred
- The preferred GTOA location
- Any referral notes you choose to add
- Your confirmation of consent to submit the referral
Information You Provide Through Article Comments
If you leave a comment on an article, we collect the name you provide, your email address, the text of your comment, and technical information associated with the submission. Your email address is used for moderation and is never displayed with the comment.
Every new comment is held for review. It becomes public only if a GTOA team member approves it. We may reject, edit, or remove comments that are unsafe, unlawful, misleading, promotional, unrelated to the article, or inconsistent with our Terms of Use.
Do not include symptoms, diagnoses, medical records, contact details, personal identifiers, or information about an active insurance or legal claim. Article comments are not monitored for medical questions or emergencies.
- The name you choose to display
- Your email address, which is not published
- The text of your comment
- The date and time of submission and related anti-abuse information
Information Collected Automatically
Like most websites, this site and the services that host and protect it record basic technical information when you visit. We use this to keep the site working, to investigate errors, and to protect against abuse.
This information is generated by the hosting and security infrastructure rather than by anything you fill in.
- Your IP address
- Browser type and version, and device and operating system information
- The pages you request and the date and time of each request
- The referring page or link that brought you to the site
- Technical error and security event records
Analytics
With your permission, we use Google Analytics, provided by Google, to understand how visitors use this website. It does not load unless you accept analytics cookies. We do not run advertising measurement on this website.
It collects technical and usage information of the kind described above, such as the pages you view, how you arrived at the site, and general interaction patterns, and it may set cookies in your browser to do so. Google processes this information under its own privacy policy.
Analytics of this kind reports on general patterns across visitors. It is not used to make decisions about your individual medical care, and we do not use it to identify who you are as a patient.
How We Use Your Information
We use the information described above for the following purposes, and not to provide medical advice or to establish a physician patient relationship.
- To respond to your question, request, or referral
- To contact you about scheduling, or to direct you to the right clinic or team
- To route attorney referrals to the staff who coordinate them
- To review, moderate, publish, or remove article comments
- To operate, maintain, and troubleshoot the website
- To protect the website against spam, abuse, and security threats
- To meet legal, regulatory, and professional obligations
Service Providers Who Process Information for Us
We use a small number of outside companies to run this website and handle enquiries. They may process the information described in this policy in order to provide their service to us. Each of them handles that information under its own terms and privacy policy, which we encourage you to read.
The chat widget on this site is provided by LeadConnector, part of the same platform as GoHighLevel. If you start a chat, your conversation is handled on that platform.
- GoHighLevel, our lead and enquiry management platform, which receives attorney and referral submissions
- LeadConnector, which provides the website chat widget
- Google, which provides Google Analytics (see Analytics above) and the reCAPTCHA service that checks form submissions for automated abuse
- Netlify, which hosts this website and keeps server and security logs
- WordPress, the back-end content system used to supply articles and page content and to hold article comments for moderation. Visitors do not normally interact with its administrative interface directly
How Attorney and Patient Enquiries Are Handled Differently
Attorney and referral submissions are sent to GoHighLevel, our enquiry management platform, so the coordination team can pick them up and follow through. Before they are sent, they pass the reCAPTCHA spam check.
Patient contact form submissions are not sent to GoHighLevel. If you tell us you are a patient, the website will ask you to call the clinic nearest you instead, because scheduling and clinical questions are handled directly by clinic staff. This is deliberate.
Health Information and This Website
Our contact and referral forms are intended for administrative coordination, and article comments are intended for general discussion of the published article. None of these features is a clinical channel or a place for a consultation.
Please do not submit unnecessary medical details through this website. Send only what is needed for us to respond and to arrange the right next step.
We recognize that information you submit may include personal or health-related information. GTOA will handle information submitted through this website in accordance with applicable privacy requirements and its established clinical privacy practices.
Diagnosis, treatment, and formal medical care happen only through a direct clinical encounter with a GTOA provider. If a matter is detailed or confidential, please call the clinic rather than using a web form.
How Long We Keep Information
We keep website enquiries and referral submissions for as long as needed to respond to the request, to maintain a record of the enquiry and any follow up, and to meet legal, regulatory, and professional obligations. How long that is depends on the request, so we do not publish a single fixed period.
Approved, pending, rejected, spam, and removed comments may be kept for as long as needed to operate the moderation process, prevent abuse, maintain the public discussion, and meet legal or professional obligations. You may ask us to remove a published comment or review the personal information associated with it, and we may need to verify your identity first.
Technical and security logs generated by our hosting and security providers are retained by those providers under their own retention practices.
When information is no longer needed for the purposes above, we take reasonable steps to delete it or to stop using it.
How We Protect Information
We use reasonable administrative, technical, and organizational measures to protect information submitted through this website, including encrypted connections, spam and abuse filtering on our forms, and limiting access to staff who need it.
No website, internet transmission, or storage system can be guaranteed to be completely secure, and we cannot promise absolute security. Email and website forms are not secure channels for sensitive information. If a matter is confidential or clinically detailed, please call the clinic instead.
Your Choices and Privacy Requests
You can choose not to submit a form, and you can ask us to stop contacting you at any time. You can also control cookies through your browser as described above.
If you would like to know what website information we hold about you, ask us to correct it, or ask us to delete it, contact us using the details at the end of this policy and tell us what you are asking for. We will respond as required by the laws that apply to your request, and we may need to verify your identity first.
Requests about your medical record are handled separately from this website. Contact the clinic directly for those.
Children's Privacy
This website is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us information through this website, contact us and we will delete it.
Where a parent or guardian arranges care for a minor, information about that minor is handled as part of the clinical relationship rather than through this website.
Links and Embedded Content From Other Sites
This website links to other sites, including our Google Business Profile listings and our social media profiles. Some articles include an embedded audio or video player hosted by another company.
We do not control those services, and this policy does not apply to them. When you follow a link or interact with embedded content, the other company's privacy policy applies. We encourage you to read it.
Where Information Is Processed
GTOA operates in Texas, and information submitted through this website is processed in the United States. Our service providers may process and store information in United States data centers or in other locations they operate.
If you are visiting from outside the United States, please be aware that the privacy laws where information is processed may differ from those where you live.
Changes to This Policy
We may update this policy as the website, our services, or the tools we use change. When we do, we will revise the date shown at the top of this page.
If a change materially affects how we handle information you have already given us, we will take reasonable steps to make that clear. Continuing to use the website after an update means you accept the revised policy.
